Instagram DM automation for beginners: a 10-minute setup

You have seen the Reels: "Comment GUIDE and I'll send it to you." A few seconds later, every fan who commented has the link in their DMs. That is Instagram DM automation, and it is simpler to set up than it looks.
This walkthrough takes you from zero to a working automation. You need your phone, your Instagram account and about 10 minutes. No flow charts, no code. It uses theZio, but the same steps apply to most comment-to-DM tools.
How Instagram DM automation works
Meta allows one private reply per comment, sent within 7 days of it, according to its Private Replies documentation. That is why the first DM carries the value. If the fan replies or taps a button, the chat continues like any other DM thread.
Before you start, it helps to know two things. It is safe when the tool uses the official API and never asks for your password; read is Instagram automation safe? for the details. And Meta paces how fast DMs can go out; Instagram DM limits explained covers the numbers.
Step 1: Switch to a professional account (1 minute)
Automation tools need an Instagram professional account: Creator or Business. Switching is free and you keep your followers and posts.
- Open Instagram and go to your profile.
- Tap the menu to open Settings and activity.
- Tap Account type and tools, then switch your account type.
- Pick Creator (most creators) or Business (if you run a shop or brand).
Menu names change from time to time; Instagram's professional account help page has the current steps. You do not need a Facebook Page for theZio.
Step 2: Sign up and connect Instagram (2 minutes)
- Go to theZio sign-up and create an account. The Free plan needs no card.
- Tap Connect Instagram. You land on Instagram's own login screen, not a form on theZio's site.
- Log in there and approve the permissions. They let theZio read your posts and comments and send DMs for you.
- You come back to the dashboard with your account connected.
theZio never sees your Instagram password. If you ever want to disconnect, remove it from apps and websites in your Instagram settings.
Step 3: Pick a post and your keywords (2 minutes)
Create a new automation. The first card asks which post to watch and which word to watch for.
- Which post? Pick one Reel or post from your grid, or choose All posts to catch the keyword anywhere.
- Keywords. Type a word and press Enter. Pick something short and specific, like GUIDE, PLAN or RECIPE. Add a Hindi or Hinglish version too if your audience writes that way.
- Matching. Keywords match whether the fan types caps or small letters. On Pro, smart match also catches typos and variations.
Avoid everyday words like "nice" or "wow". They trigger DMs for fans who were just being friendly.
Step 4: Write the DM and add your link (2 minutes)
Next, write what the fan receives. Keep it short and warm, and lead with what they asked for.
- Opening DM. The first message they get. One line that confirms what is coming works best.
- What they get. Paste a link (a YouTube video, your course page, a booking link) or pick a file from Products. Upload an ebook, PDF or preset once and every fan gets a private download link.
- Reply on the comment (optional). A short public reply like "Sent! Check your DMs" tells other viewers the keyword works.
FanGUIDE
Creator (auto)Hey! Here's the free guide you asked for 📩
Creator (auto)Tap the link to download it.
The phone preview next to the builder shows the exact conversation as you type, so you can read it the way a fan will.
Step 5: Add the optional extras (1 minute)
Two extras turn a one-off DM into lasting growth. Both are on every plan, including Free.
- Ask For Follow. The DM invites the fan to follow you. theZio checks once, sends one reminder, and then delivers the freebie either way, so no fan leaves empty-handed.
- Email capture. Turn on the email ask and theZio asks for the fan's email in the chat, then sends the download. The emails collect in your dashboard, ready for your newsletter.
Delivering the freebie no matter what matters: Meta's spam policy does not allow gating content behind engagement. For more, read how to collect emails on Instagram.
Step 6: Choose which comments, then go Live (1 minute)
The last setting asks which comments the automation should answer.
- New comments only (the default). Best for a Reel you are about to post.
- Last 24 hours plus new (every plan). Good if the Reel is already out and fans have started commenting.
- All old comments plus new (Pro). Comments under 7 days old get the DM; older ones get a public reply, because Meta no longer allows a private reply.
Tap Save automation. It goes Live the moment you save. You can pause it any time from the automation's page.
Step 7: Test it from a second account (1 minute)
Do not skip this. A 60-second test catches most mistakes before your fans do.
- Borrow a friend's phone or use a second Instagram account.
- Comment your keyword on the post you picked.
- Check that account's DMs, including message requests. The DM should arrive within seconds.
- Tap through the whole chat: the button, the email step if you added one, and the link or download.
If the DM does not arrive
- Check the automation says Live and is on the right post.
- Check the keyword is spelled the way you typed it in the comment.
- If you chose new comments only, comment again: a comment made before you saved does not count.
- Check your dashboard notifications. theZio flags problems like a disconnected Instagram account there, with the fix.
What to do after your first automation
- Say the keyword in the Reel and the caption. Fans comment what they can see and hear.
- Give each Reel its own keyword so you can see which Reel drives the most DMs.
- Use one automation for several freebies. With per-keyword delivery, GUIDE can send the ebook and PLAN can send the diet plan from the same automation.
- Read the numbers. The dashboard shows how many fans commented, got the DM and downloaded, so you know what to post next.
The Free plan covers 1,000 auto DMs a month, enough to test on real Reels. Pro is ₹499 a month, or ₹399 a month billed yearly. See pricing or read the full comment-to-DM guide.

Frequently asked questions
Is Instagram DM automation free?
Many tools have a free plan. theZio's Free plan includes 1,000 auto DMs a month with no card, plus Ask For Follow and email capture. Pro removes the monthly DM cap and adds features like smart match and replies to all old comments.
Do I need a Facebook Page to automate Instagram DMs?
Not with theZio. It connects with Instagram Login, so you only need an Instagram professional account (Creator or Business). Switching to one is free in the Instagram app.
Can I automate DMs on a personal Instagram account?
No. Meta's official API works with professional accounts only. Switch to a Creator account; it is free, and you keep your followers and posts.
Will fans know the DM is automated?
They see a normal DM from your account, sent seconds after they comment. Write it in your own voice and it reads like you. You can also say it in the Reel: comment the keyword and the DM arrives automatically.
Can one automation send different links for different keywords?
Yes. With per-keyword delivery, each keyword in one automation can send its own link or product, while the message around it stays the same.
