Brand deal DMs: how creators stop missing paid collabs

A brand writes "Hi, we'd love to collab, what are your charges?" and it lands between two hundred "LINK" replies, a few spam offers and your cousin's meme. By the time you scroll to it, the brand has booked someone else. Most creators who post regularly have a story like this.
This guide compares four ways to stop that from happening: Instagram's own inbox folders, a manual routine, a talent manager or agency, and theZio's brand deal inbox. theZio is our product, so it is labelled as ours, and there is a section on where the other options beat it. Instagram facts are as reported by its Help Center in October 2026 and cited at the end.
How did we compare ways to catch brand deal DMs?
We left out tools that only send mass outreach or sell fake engagement, because they do not help you find real pitches. We also left out anything that asks for your Instagram password. The four options below either live inside Instagram, need no software at all, or use the official Instagram API with Instagram Login.
- What it catches: brands pitch in comments ("check your DM", "let's connect") as often as in DMs.
- Cost: free, your time, a share of each deal, or a monthly plan.
- Daily effort: minutes, or none once it is set up.
- Reply speed: does it tell you a brand wrote, or do you have to go looking?
How do the options for catching brand deal DMs compare?
Instagram's folders cost nothing but leave the sorting to you. A routine works if you keep it every day. A manager takes the whole job off your plate for a share of each deal. theZio flags pitches and alerts you, on its Pro plan. The table sums it up.
| Tool | What it catches | Cost | Daily effort | Alerts you |
|---|---|---|---|---|
| Instagram inbox folders | Every DM, sorted into Primary, General and Requests | Free | You read and sort by hand | Normal Instagram notifications |
| A manual routine | Whatever you check: DMs, Requests, comments, your email | Free, costs your time | 15 to 30 minutes a day, every day | No, you go looking |
| A talent manager or agency | Pitches sent to them, and often your inbox too | Usually a share of each deal; terms vary | Low for you | They follow up with you |
| theZio brand deal inbox (ours) | Collab requests in comments and DMs from the moment it is on | Part of Pro, ₹499 a month | Open one page | Email for each new brand, at most 10 a day |
Why do creators miss brand deal DMs on Instagram?
Instagram's Help Center says professional accounts get an inbox with Primary and General tabs, plus message Requests from accounts you do not follow. A request is not marked as seen until you accept it, and accepting or replying moves that account's future messages to Primary. That is useful, but it means a new brand starts in the folder most creators open least.
- Volume. One Reel that says "comment LINK" can bring hundreds of comments and DMs in a day. A brand's one message sinks fast.
- Comments, not DMs. Smaller brands often comment "Love this, check your DM" or "Let's connect" and wait. If you never scroll the comments, you never see it.
- Spam looks the same. "DM for promotion", follower sellers and fake "ambassador" offers use the same words as real brands, so creators learn to skim past them.
- Hinglish. "Collab karoge?" or "charges kya hai" will not match a search for "collaboration".
Option by option: where each one is the better pick
Instagram's own inbox folders
Every Business and Creator account already has the tools: the professional account features include an inbox split into Primary, General and Requests. Move fans to General, keep brands and close contacts in Primary, and check Requests daily. It is free, it sees every DM, and nothing needs connecting. The catch is that you do all the sorting, comments are not covered, and a busy week undoes the system. Better pick if you get a few dozen DMs a day and can open Requests every morning.
A manual routine
Block 15 to 30 minutes at the same time each day. Open Requests first, then General, then the comments on your last three posts, then your business email. Search your DMs for words like collab, paid, barter, PR, rates and charges. Keep a simple sheet with the brand, what they asked, the date and your reply. Put a business email in your bio so serious brands have a second way in. Better pick if you are just starting with brand work and want to learn what real pitches look like before paying for anything.
A talent manager or agency
A manager or creator agency takes pitches off your plate: brands email them, they negotiate rates, check contracts and chase payments. Many also bring deals to you that you would never have found. They usually take a share of each deal, and terms vary a lot, so read the contract for exclusivity and notice periods before you sign. A manager does not stop pitches from landing in your own DMs, so you still need a way to pass those on. Better pick if brand work is already a big part of your income and you would rather spend your time creating than negotiating.
theZio's brand deal inbox (ours, Pro)
theZio reads the comments that no automation claimed and your everyday DMs, scores them for collab, sponsorship, barter and PR language, Hinglish included, and filters out follower sellers and "DM for promotion" spam. Each brand gets one card with the brand name, what they want, the budget if they stated one, and an AI-suggested reply you can copy. You get an email for each new brand, at most 10 a day, and the email never includes the message text. See the brand deal inbox for the full feature. Better pick if you run comment automations on busy posts and pitches keep getting buried under fan replies.
Where theZio fits (our tool, so read this critically)
theZio is our product. Its main job is comment-to-DM: a fan comments your keyword and theZio sends the DM. The brand deal inbox sits next to that, so the same comments and DMs that run your automations are also checked for pitches. Here is how it works, in order.
- A comment that matches one of your keywords goes to the fan funnel and is never treated as a brand.
- Any other comment, and any DM that is not part of a live funnel conversation, is scored for brand language.
- A likely pitch is read by AI and turned into a card on Dashboard > Brand deals, under Open.
- You tap Reply in Instagram, answer properly, then tap Mark replied. Not a deal clears a false alarm.
- Optional: under Auto-reply to brands, switch on a public reply under their comment and/or a DM. Both send only the text you wrote, never AI text, once per brand.
The brand deal inbox is part of Pro, at ₹499 a month or ₹399 a month billed yearly. It is not on the Free plan. See pricing for everything Pro includes.
Where other tools beat theZio
- Price. Instagram's folders and a manual routine are free. theZio's brand deal inbox needs Pro.
- Old messages. theZio only checks comments and DMs from the moment it is on. It does not go back through your existing inbox, so clear your Requests folder by hand once.
- Negotiation. A manager knows market rates, reads contracts and chases payments. theZio finds the pitch and suggests a reply; the deal is still yours to make.
- Other channels. theZio reads Instagram only. Pitches to your email or through a manager never reach it.
- Judgment. Rules and AI can miss an unusual pitch or flag something that is not a deal. Keep a quick look at Requests as a backstop.
How should you reply to a brand deal DM?
FanHi! We're a skincare brand and would love to collab. What are your charges?
Creator (auto)Thanks for reaching out! Here is my media kit. Could you email the brief, deliverables, timeline and budget to my business email? I'll get back within a day.
- Keep a saved reply. Write one answer with your email and media kit link, and paste it each time.
- Ask before you quote. A Reel, a Story set and usage rights for ads are very different jobs.
- Get it in writing. Deliverables, dates, payment terms and usage rights belong in an email or contract, not only in DMs.
- Barter is a deal too. A free product is fine if you want it, but treat the deliverables the same way.
How do you spot a fake brand collab DM?
- "DM for promotion" and "get featured" comments are almost always sellers, not brands.
- Check the brand's own account and website. Does the handle that wrote to you match the one the brand links from its site?
- Never share a login code. No real collab needs your password or a verification code.
- Payment first is a red flag. A brand that wants a "registration fee" or a deposit is not paying you.
If you run comment automations, read the guide to auto DMs when someone comments and the safety guide too, so fan replies and brand pitches each go where they should.

Frequently asked questions
Where do brand collab DMs go on Instagram?
Usually to Requests, because most brands do not follow you. Instagram's Help Center says requests come from accounts you do not follow, and accepting or replying moves that account's future messages to your Primary tab. Check Requests at least once a day.
What is the best way to stop missing brand deals on Instagram?
It depends on your volume. A few DMs a day: Instagram's own Primary, General and Requests folders plus a daily routine. Lots of brand work: a talent manager. Busy comment automations burying pitches: a tool that flags them, such as theZio's brand deal inbox on Pro, our own product.
Does theZio reply to brands with AI?
No. AI writes a suggested reply on the card, which you can copy and edit. If you switch on auto-replies, theZio sends only the text you wrote, once per brand, and the deal stays open for you to answer properly.
Is the brand deal inbox on theZio's Free plan?
No. It is part of Pro, at ₹499 a month or ₹399 a month billed yearly. On Free, theZio does not read or store messages for brand deals.
Can theZio find brand DMs I already missed?
No. It checks comments and DMs from the moment it is on. For older pitches, open your Requests and General folders and search for words like collab, paid, barter and charges.
How fast should I reply to a brand collab DM?
Within a day if you can. Brands often have a campaign date and a shortlist of creators, so a quick, short reply with your email and media kit keeps you in the running while you work out the details.
